Workspace AI: Latest Gemini & Meet Innovations for Administrators

Google Workspace continues to integrate advanced artificial intelligence and machine learning capabilities, enhancing productivity and collaboration across its suite of applications. For Google Workspace Administrators, understanding these developments is crucial for effective deployment and management within their organisations. This post highlights recent significant AI-driven updates to Gmail, Gemini, and Google Meet, offering insights into how these innovations can benefit users and what administrators need to know.
The popular Proofread feature, powered by Gemini, is now expanding its availability to a broader range of Google Workspace plans. This enhancement in Gmail goes beyond basic spelling and grammar checks, offering sophisticated suggestions to improve email conciseness, promote active voice, refine sentence structure, and enhance word choice. The aim is to ensure all communications are polished and professional before they are sent.
Previously, this feature was primarily accessible to Google AI Pro and Ultra subscribers. Now, various Workspace customers will receive promotional access to higher usage limits, allowing users to thoroughly explore its capabilities. While there are no specific administrator controls for this feature, end users will find it enabled by default and have the option to disable it if they prefer. The extended rollout for both Rapid and Scheduled Release domains began on 4 February 2026. This feature is now available across Business Starter, Standard, and Plus; Enterprise Starter, Standard, and Plus; Frontline Plus; Individual; Google AI Plus, Pro, and Ultra; and the Google AI Pro for Education add-on.
Gemini is expanding its utility beyond conversational assistance by introducing full-length practice tests, now including support for the JEE Main examination. This follows the earlier launch of practice tests for the SAT, demonstrating a commitment to supporting learners with high-quality, AI-powered preparation tools.
These practice tests are built upon rigorously vetted content from leading education providers, ensuring that the material closely mirrors what users can expect on their actual examination days. To access this feature, users simply need to prompt Gemini with a phrase like 'I want to take a JEE Main mock test.' For administrators, the Gemini application and its related in-app tools are managed through the Generative AI settings within the Workspace Admin Console. Existing controls for Gemini will apply to these new practice tests. This functionality is currently available in English and accessible to all Google Workspace customers, Workspace Individual subscribers, and users with personal Google accounts who are signed into the Gemini application.
Google Meet is taking a significant step forward in breaking down language barriers with the general availability of speech translation for businesses. No longer confined to a limited alpha program, this feature leverages advanced real-time speech-to-speech translation technology. It allows participants to speak in their native language while others hear a near real-time audio translation, complete with the speaker's original tone and cadence.
This differs from translated captions by preserving the natural flow of conversation and making it easier to distinguish who is speaking, even in group discussions. The enhancement aims to foster more inclusive and effective meetings by maintaining the emotional context and expressiveness of spoken language.
At its launch, speech translation supports bidirectional communication between English and Spanish, French, German, Portuguese, and Italian. Currently, only one language pair can be active per meeting. Users in conference rooms will hear translations, but their own speech will not be translated. Mobile support for Meet Android and iOS applications is expected in the coming months, alongside ongoing improvements to user interface and translation accuracy.
Organisations will initially receive promotional access to higher usage limits for at least 60 days. Administrators have control over this feature, which is enabled by default but can be disabled or enabled at the organisational unit level within the Admin Console. The extended rollout for Rapid Release domains began on 27 January 2026, with a gradual rollout for Scheduled Release domains starting on 18 February 2026. This feature is available to Business Standard and Plus, Enterprise Standard and Plus, Frontline Plus, Google AI Pro and Ultra, Google AI Ultra for Business add-on, and Google AI Pro for Education add-on.
These recent updates underscore the continuing evolution of Google Workspace, with AI and machine learning playing a pivotal role in shaping user experiences. From enhanced communication in Gmail to educational support in Gemini and seamless global collaboration in Meet, these features offer substantial benefits. Google Workspace Administrators are encouraged to familiarise themselves with these advancements to optimise their organisation's use of these intelligent tools.
